# Best sales order automation software in 2026

Distributors, wholesalers and manufacturers still key emailed purchase orders into their ERP by hand. Here is what each tool actually automates, what it costs, and when it is the wrong buy.

## Reading the order is the easy half

For a distributor, wholesaler or manufacturer, sales order automation means one job. A customer emails a purchase order as a PDF, a spreadsheet or three lines of free text, and someone keys it into the ERP. Software that takes that work away has to read the order, then turn every line into your item code, unit of measure and price. In 2026 the reading is largely solved. The matching is where projects succeed or stall, and it is the part demos show least.

I build and run production AI agents for operational teams, and order entry is one of the jobs I build most, so my bias is towards systems that treat catalogue matching as the core of the work. I have tried to be fair to every vendor, and none has paid to be here. Every price, plan and ownership change was checked on 25 September 2026 against vendor pages and announcements, and where no price is published I say so.

### 1. Conexiom

Conexiom has automated orders and invoices for manufacturers and distributors for over 15 years. It captures emailed orders as PDF, Excel, CSV or even handwritten notes, corrects them against your ERP data and delivers them to more than 40 ERPs, including Epicor Prophet 21, SAP S/4HANA, NetSuite, Dynamics 365 and Infor. Its classic method maps each customer's order format and encodes rules, such as ignoring characters in a customer's part numbers so they match yours. Relay, launched in September 2026, extends this to email threads, images and text messages, and turns your team's corrections into a visible, editable Playbook.

It wins for mid-size and large distributors whose volume comes from known repeat customers, especially on Epicor, where the partnership was expanded in July 2026. It is the wrong buy for a small order desk or a long tail of occasional buyers, because the subscription is sold in customer packs. There is no published price.

### 2. Esker Order Management

Esker is the broadest enterprise option. It brings email, EDI, portal, punchout and mobile orders into one queue, separates orders from other customer emails, extracts header and line data and checks it against ERP products, prices, quantities and delivery details. Discrepancies go to the right person with a tracked conversation, clean orders pass straight through, and there is a certified SAP connector. Bridgepoint and General Atlantic took Esker private, and its shares were delisted on 3 March 2025. Its September 2026 conference was billed as a first look at Synergy AI agents, so treat those as a preview.

It wins for large, multi-country manufacturers and distributors, often on SAP, that want the wider order-to-cash suite from one vendor. It is the wrong buy for a single site with one inbox and one ERP, because you pay for breadth you will not use. Pricing is a custom quote.

### 3. Business Central Sales Order Agent

Dynamics 365 Business Central now ships with an order-taking agent. It watches a Microsoft 365 mailbox, reads the email and any PDF, PNG or JPG attachment, identifies the customer and searches items in layers, from exact matches on item number, GTIN and item references to attributes and then fuzzy search. It checks stock and always creates a sales quote first, which can convert straight into an order, and a person approves every outgoing email. Generally available since November 2025, it gained several agents per company and smarter item matching in July 2026.

It wins for Business Central users with modest volumes and well-kept item references. It is the wrong buy if orders arrive as Excel files, which it does not read, or are forwarded by colleagues, because it identifies the customer only by the sender's address. Microsoft's billing table puts a typical request at 14 Copilot Credits plus 5 for a PDF order, and packs cost 200 dollars a month for 25,000 credits, roughly 15 cents a request.

### 4. SAP S/4HANA sales order creation from unstructured data

SAP's built-in route turns a PDF or image purchase order into a sales order request, which a user checks and converts into an order. In S/4HANA Cloud Public Edition it is a Premium AI feature on SAP Document AI, and release 2602 in early 2026 added multi-language extraction that learns from user corrections. In Private Edition it is a Base AI feature, included in the subscription, from S/4HANA 2023 FPS02. Email intake needs extra work, such as the mailbox bot that SAP's training material describes.

It wins for S/4HANA companies whose customers mostly send PDFs. It is the wrong buy for Excel and free-text orders, which it does not read, or for touchless entry, because the documented flow has a person convert each request. Premium AI is paid in AI Units bought annually, and the Document AI workspace is metered by user. SAP says most generative AI features that need AI Units will move into Base AI at no extra cost later in 2026, so ask where this one lands.

### 5. Rossum

Rossum is a document AI platform best known for supplier invoices, also sold for order processing from email, EDI and portals, with checks against customer, stock and pricing rules. On 12 May 2026 Coupa, the spend management company, announced it had acquired Rossum, which it already embedded in its accounts payable product.

It wins for companies that want one platform for invoices and orders and have people to configure the rules. Starter costs from 18,000 dollars a year with unlimited seats, but master data matching, which maps extracted lines to your catalogue, starts on the quoted Business plan. It is the wrong buy if you want catalogue logic built in, and since Coupa's announcement is about spend management, get the order processing roadmap in writing. There is a 14-day free trial.

### 6. Nanonets

Nanonets has moved from document extraction to AI agents, including one for order management. The agent reads purchase orders from email, portals, EDI and fax, matches lines to your catalogue, checks price, stock and credit, and hands pricing discrepancies, unknown items and credit holds to a person before creating the order through connectors for SAP, NetSuite, Oracle and Dynamics 365.

It wins for teams that want to start small, because prices are published. Starter is free with 50 dollars of credits, cut from 200 dollars between May and July 2026, then 100 dollars a month for 100 credits and up to 3 users, with each workflow step metered at 2 cents for simple operations, 10 cents for standard AI and 30 cents for complex AI such as extraction. It is the wrong buy if you expect ERP posting on the entry plan, because ERP integrations start on the quoted Growth plan and the SAP and Oracle connectors sit on Enterprise.

### 7. Workist

Workist is a Berlin specialist for European manufacturers and wholesalers. Its agent reads orders from email, PDF, Excel, CSV, Word and scans, validates every line against your master data, handles unit conversion and article variants, and asks your team when something does not add up. Standard connectors cover SAP R/3 and S/4HANA, Business Central, Sage 100 and 200 and Weclapp, plus EDI and an API.

It wins for mid-size European firms on those ERPs that want a packaged product. Packages are published but prices are not. Core covers orders, 10,000 documents a year and 3 users, Professional adds inquiries, 20,000 documents and 5 users, and Enterprise is individual, all annual with a 12-month minimum and a free test on your own documents. It is the wrong buy if your ERP is not on the connector list.

### 8. Hypatos

Hypatos builds AI agents for shared service centres. Its order management agents take orders from email, portals, EDI and API as PDF, image, Word, Excel, XML or JSON, match each line to the latest catalogue even with typos or outdated codes, check prices against agreements and quantities against expected volumes, and report match accuracy and fallout as they run.

It wins for shared service centres handling orders for many entities and languages. It is the wrong buy for a single distributor wanting a simple tool. You pay per skill, only when it is triggered, with no published rates, and Hypatos says integrating master data costs extra, so price the catalogue connection explicitly.

### 9. A document AI service plus your own matching

Buy the reading and build the rest. Azure Document Intelligence and Google Document AI extract text, tables and fields from purchase orders, and the open-source Docling parser, under an MIT licence, reads PDF, Excel, Word and email files on your own servers. None of them knows your catalogue, so matching, unit rules, exceptions and ERP posting are yours to build. This is the category I work in, so weigh my view accordingly. One wholesale distribution order-entry system I built took out about 90 percent of the manual work at over 95 percent line accuracy, and in a multi-country group the same approach took out about 60 percent of the manual work in every country.

It wins when your catalogue or ERP is unusual enough that packaged matching keeps failing, and someone will own the system after go-live. Reading is cheap. Azure lists prebuilt models at 10 dollars per 1,000 pages and custom extraction at 30, with 500 free pages a month, and Google's custom extractor is 30 dollars per 1,000 pages. It is the wrong buy if nobody will own it.

## Why catalogue mapping matters more than reading, and how to measure accuracy honestly

Every tool above can read a clean PDF. What separates a working system from a stalled pilot is whether each line becomes the right item, in the right unit, at the right price. Customers order with their own part numbers, with descriptions that match nothing in your system, with codes you discontinued last year, and in boxes when you sell in eaches. Ten boxes of M8 zinc bolts is only a correct line if something knows which item that is, how many a box holds, and whether the price is per box or per hundred.

That knowledge lives in a cross-reference table. Business Central calls it an item reference and SAP a customer-material info record. Build it from last year's keyed orders before you buy, count the lines no rule resolves, and treat that count as your project scope. Ask every vendor whether the table and its correction history can be exported, because it is the asset you are paying to build.

To measure accuracy honestly, count lines, not orders or fields, because header fields are easy and flatter the number. Include every line the customer sent, even those the system skipped or passed to a person. Test on recent orders not used for setup, split by customer, because an average hides the few customers who send most of your volume. Report silent errors apart from flagged ones, since a flagged line costs a minute while an unseen wrong line costs a credit note. Then compare with your own team's keying error rate, which is rarely zero.

## What changed in 2025 and 2026

Ownership moved. Bridgepoint and General Atlantic took Esker private in early 2025, and Coupa bought Rossum in May 2026. The ERPs arrived, with Microsoft's Business Central agent generally available in November 2025 and SAP's AI-assisted sales order creation in early 2026. Conexiom and Esker answered in September 2026, with Relay and a first look at Synergy AI agents.

Some names in older lists solve a different problem. Tacto and Microsoft's Procurement Agent work on the buying side, and Pipe17 routes ecommerce and marketplace orders rather than reading emailed purchase orders. I found no first-party sales order agent for Dynamics 365 Finance and Supply Chain Management.

## How to pick by order volume and ERP

For a small order desk, start with what you already pay for. On Business Central, switch the agent on for one mailbox and a few customers who send PDFs, and review a month of results. On another ERP, run a month of real orders through the Nanonets free credits or Workist's free test and score them line by line. Either way, build the cross-reference table first.

For a mid-size distributor or manufacturer keying hundreds of orders a day, shortlist a specialist that fits your ERP. Conexiom is strongest on Epicor, Workist on SAP, Business Central and Sage in Europe, and Nanonets or Rossum suit teams that can configure a platform. Food and drink wholesalers should also look at Choco, whose OrderAgent reads orders from email, WhatsApp, voicemail and handwritten notes.

For a large or multi-country group, Esker and Conexiom are the established choices, Hypatos fits when a shared service centre runs the work, and SAP's feature is worth piloting first on S/4HANA. At every size, map the catalogue and agree how accuracy will be measured before you buy.

### What is the best sales order automation software in 2026?

It depends on your ERP and volume more than the software. Conexiom and Esker are the established specialists, Business Central and SAP S/4HANA now include their own order features, and Workist, Nanonets, Rossum and Hypatos fill particular niches. The best is whichever matches your order lines to your catalogue most accurately on a month of your own orders.

### How much does sales order automation software cost?

Few vendors publish prices. Nanonets starts free and meters each workflow step at 2 to 30 cents, Rossum's Starter plan starts at 18,000 dollars a year, and the Business Central agent costs roughly 15 cents per emailed request in Copilot Credits. Conexiom, Esker, Workist and Hypatos quote individually, and SAP charges AI Units in Public Edition. Budget for the catalogue mapping effort too.

### What is the best order entry automation for a small distributor?

Start with what your ERP already offers. On Business Central the Sales Order Agent is built in and costs cents per order, although it reads only PDF and image attachments. Elsewhere, test Nanonets on its free credits or ask Workist for a free test on your own documents. First, build a cross-reference of your main customers' part numbers and units.

### What are the best Conexiom alternatives?

Esker is the main enterprise alternative, with a wider order-to-cash suite. Workist is the closest European equivalent for SAP, Business Central and Sage users, Nanonets and Rossum suit teams that can configure a platform, and Business Central or SAP users can try their ERP's own feature first.
